Privacy policy
What we collect when you contact us, why we keep it, who sees it, and how to ask us to change or delete it.
Who we are
ADP Windows Ltd (company number 12216092) supplies and fits windows and doors across London and the Home Counties. We are the controller of the personal data described in this policy.
Address: 28 Victoria Road, Ruislip, HA4 0AB. Phone: +44 20 3375 8609. Email: info@adpwindows.co.uk.
What we collect
When you use the Get a free quote form, or call, email or message us, we collect:
- your name, phone number and email address;
- the project postcode and details of the project: the product you are interested in, the type of project, approximate budget, when you would like it fitted, and anything you write in your message;
- plans, drawings or photos you choose to upload;
- technical details sent with the form: the page you came from and the time it was sent. Our server also sees your IP address, which it uses to block repeated spam. We use these details to stop spam and to see which pages bring enquiries.
We do not ask for payment details through this website.
Why we use it and our legal basis
- To answer your enquiry and prepare a quote. We call you, arrange a survey or showroom visit, and send a written quote. Legal basis: steps taken at your request before entering into a contract, and our legitimate interest in responding to people who contact us.
- To keep a record of enquiries and quotes. Legal basis: legitimate interest in running the business and handling any later questions about a quote.
- To protect the website from spam and misuse. Legal basis: legitimate interest.
- To understand how the website is used, only if you accept analytics cookies. Legal basis: your consent. See Cookies.
Marketing emails
We do not use the details you send through this website to send you marketing emails. If that changes, we will ask you first, and every marketing email will include a free way to unsubscribe.
Who sees your data
We do not sell your data. We share it only with the service providers who help us run the business, under contracts that require them to protect it:
- our customer relationship system (Business Pilot), where enquiries and quotes are kept;
- website hosting and file storage providers, which receive the form and any files you upload;
- automation and email services that pass the form to our team;
- Google, which provides website analytics (Google Tag Manager and Google Analytics), only if you accept analytics cookies;
- our professional advisers, and public authorities where the law requires it.
Some of these providers may store data outside the UK. Where they do, we rely on UK adequacy regulations or the UK International Data Transfer Agreement or Addendum to protect it.
How long we keep it
We keep enquiry and quote records only for as long as we need them to answer your enquiry, follow up the quote and deal with later questions about it. If you become a customer, we keep contract records for as long as we need them for after-sales service and for legal and tax purposes. Files you upload are deleted from our website server after 12 months; any copy attached to your enquiry record is deleted with that record.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal data we hold about you;
- correct data that is wrong or incomplete;
- delete your data, where we no longer have a reason to keep it;
- restrict how we use it, or object to our use of it, including the use based on legitimate interest;
- send your data to you or to another organisation in a commonly used format.
Where we rely on your consent, such as for analytics cookies, you can withdraw it at any time. To use any of these rights, email info@adpwindows.co.uk or call +44 20 3375 8609. We reply within one month.
Cookies
The website works without analytics cookies. We store one setting in your browser's local storage to remember your cookie choice, so we do not ask again on every page.
Analytics cookies are off until you choose. If you select Accept on the cookie banner, we load Google Tag Manager, which runs Google Analytics 4. Google Analytics sets cookies named _ga and _ga_ followed by an ID, to count visits and see which pages people use; by default they last up to 2 years. If you select Reject, or make no choice, no analytics cookies are set.
You can change your choice at any time with the Cookie settings link at the bottom of every page. If you withdraw consent, we stop analytics and remove the Google Analytics cookies from your browser.
The showroom map on our quote page is provided by Google Maps. Google may set its own cookies when the map loads; see Google's cookie policy.
Complaints
If you are unhappy with how we handle your data, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
